Job Description

Job Overview

We are looking for a dependable, detail-oriented, and highly organized Remote Data File Clerk / Appointment Setter to join our team in either a full-time or part-time capacity. This role is ideal for someone who enjoys structured work, communicates professionally, and can manage both administrative data tasks and customer-facing scheduling responsibilities from a remote environment. The successful candidate will be responsible for maintaining accurate digital records, reviewing and organizing files, entering and updating information across internal systems, and supporting outreach efforts by coordinating appointments with clients, leads, or internal stakeholders. You will play an important role in keeping information current, accessible, and properly documented while also helping ensure calendars are efficiently managed and appointments are scheduled in a timely and courteous manner. In this position, attention to detail is essential, as you will handle sensitive information, verify data for accuracy, and follow established procedures for file naming, storage, retrieval, and reporting. Strong written and verbal communication skills are equally important because you will interact with customers or contacts through email, phone, text, or online scheduling tools to confirm availability, send reminders, and reschedule appointments when needed. The ideal candidate is comfortable working independently, prioritizing tasks, and meeting deadlines without constant supervision, while also collaborating effectively with team members and managers in a virtual setting. Familiarity with spreadsheets, cloud-based filing systems, CRM platforms, and calendar management tools will help you succeed in this role. We value reliability, professionalism, discretion, and a positive attitude, and we are seeking someone who can represent the organization well while supporting smooth day-to-day operations. Whether handling document organization, updating databases, tracking appointment outcomes, or responding promptly to scheduling requests, you will contribute directly to operational efficiency and customer satisfaction. This opportunity offers flexibility for full-time or part-time availability and is well suited for candidates seeking remote work with clear expectations, repeatable processes, and meaningful administrative support responsibilities.

Responsibilities

  • Enter, update, and maintain accurate data in company databases, spreadsheets, and filing systems.
  • Organize, label, scan, upload, and archive digital files according to established procedures and retention guidelines.
  • Schedule, confirm, reschedule, and cancel appointments using phone, email, messaging, or calendar platforms.
  • Communicate professionally with clients, leads, or team members to coordinate availability and provide appointment details.
  • Review records for completeness and accuracy, correcting errors and escalating discrepancies when necessary.
  • Track appointment activity, maintain status notes, and prepare basic reports for supervisors or team leads.
  • Protect confidential information and follow company policies for data security, privacy, and remote work compliance.

Requirements

  • High school diploma or equivalent; additional administrative or customer service experience is preferred.
  • Previous experience in data entry, file management, appointment setting, clerical support, or a related role is an asset.
  • Strong attention to detail with the ability to maintain accuracy while handling repetitive tasks and multiple priorities.
  • Excellent written and verbal communication skills with a professional and courteous remote presence.
  • Proficiency with Microsoft Office, Google Workspace, spreadsheets, email, and online calendar or scheduling tools.
  • Ability to work independently, stay organized, manage time effectively, and meet deadlines in a remote environment.
  • Reliable internet connection, access to a computer, and comfort learning company systems and communication platforms.
