Job Description

We are seeking a warm, professional, and highly organized Medical Front Office Specialist to oversee the reception and front office operations at our community-focused health services center in Waterbury. bilingual Spanish a huge plus! 

In this fast-paced, high-impact role, you will be the face and voice of our organization. You will greet patients, manage a multi-line phone system, handle medical administrative tasks, and provide dedicated support to our specialized hearing health program. Responsibilities

Reception & Office Administration

  • First Impressions: Greet and check in patients, visitors, vendors, and volunteers, ensuring a warm, welcoming, and tidy reception area.

  • Communications: Answer a multi-line phone system, route calls, take detailed messages, and assist callers with general organizational questions.

  • Office Logistics: Manage incoming and outgoing mail (USPS, FedEx, UPS), coordinate fax distribution, order shipping/postage supplies, and schedule conference rooms.

  • Equipment Care: Maintain office equipment (copiers, postage machines) and coordinate maintenance or repairs when needed.

Clinical & Specialty Program Support

  • Patient Check-In/Out: Register patients, obtain up-to-date insurance information, and perform real-time eligibility verifications.

  • Bilingual Support a Huge Plus!: Provide Spanish-to-English translation and interpretation support for patients and medical staff.

  • Program Assistance: Assist patients with dropping off/picking up medical devices (hearing aids) and purchasing associated supplies (batteries, accessories).

  • Scheduling & Records: Coordinate and confirm patient appointments, prepare and maintain physical and electronic patient charts, and process authorized medical records requests in strict accordance with HIPAA/PHI guidelines.

  • Financial Duties: Process copays and patient payments, performing daily reconciliation of charges and payments.
