Executive Personal Assistant
Job Summary
We are looking for a dependable, highly organized, and proactive Personal Assistant to provide comprehensive support to an attorney. This position plays a vital role in ensuring the seamless management of both professional responsibilities and personal administrative matters. The ideal candidate is resourceful, detail-oriented, trustworthy, and capable of handling multiple priorities in a dynamic, fast-paced environment while maintaining the highest level of confidentiality.
Assist with personal responsibilities including errands, appointment coordination, scheduling, and other confidential matters while exercising sound judgment and discretion.
Oversee and maintain complex calendars using Microsoft Outlook Calendar, coordinating meetings, court-related appointments, travel itineraries, and other important commitments with accuracy and efficiency.
Deliver executive-level administrative support by preparing correspondence, proofreading legal and business documents, transcribing notes, organizing files, and creating reports with exceptional attention to detail.
Coordinate ongoing projects by monitoring timelines, tracking deliverables, organizing resources, and communicating with internal stakeholders to ensure successful and timely completion.
Perform office administration duties including document filing, data entry, record management, bookkeeping through QuickBooks, and maintaining organized office systems and supplies.
Support the planning and execution of corporate meetings, legal events, conferences, and special functions by coordinating logistics, schedules, materials, and vendor communications.
Comprehensive calendar management
Scheduling meetings, appointments, and travel arrangements
Managing emails, correspondence, and document organization
Administrative support for legal operations and business activities
Project coordination, progress tracking, and follow-up
Preparing administrative documents, responding to emails, and assembling legal documentation with accuracy
Running personal and business-related errands
Providing occasional weekend assistance when required
Coordinating miscellaneous logistical and administrative support tasks
Assisting with special projects and other responsibilities as assigned
Preferred minimum of 3 years of experience supporting executives or attorneys in an executive assistant or personal assistant capacity.
Demonstrated success in a similar administrative position with strong organizational and office management abilities.
Advanced proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
Outstanding organizational and time-management skills with the ability to prioritize multiple assignments in a fast-moving environment.
Excellent written and verbal communication skills, including professional phone etiquette and exceptional customer service abilities.
Proven ability to handle confidential and sensitive information with integrity, professionalism, and discretion.
Experience coordinating projects, managing deadlines, and assisting with event planning is considered a strong asset.
Spanish or Mandarin language proficiency is preferred.
Notary Public Certification is preferred or may be obtained after employment begins.
Valid driver's license required.
Primarily on-site with regular in-person attendance
