Pay: $50,000–$55,000 annually

Addison Group is partnering with a well-established organization in the fuel industry seeking a highly organized and proactive Executive Assistant to support senior leadership. This role is ideal for a professional who excels in a fast-paced environment, enjoys managing multiple priorities, and serves as a trusted resource for executive-level operations.

Job Description

Our client is looking for an Executive Assistant to provide comprehensive administrative and operational support to executive leadership. The ideal candidate will demonstrate exceptional communication skills, strong attention to detail, and the ability to handle confidential information with professionalism and discretion.

Key Responsibilities

  • Manage executive calendars, coordinate appointments, and ensure schedules remain organized and efficient.
  • Arrange travel logistics, including flights, accommodations, transportation, and itinerary preparation.
  • Serve as a primary point of contact for internal teams, external partners, and key stakeholders.
  • Prepare, edit, and distribute correspondence, presentations, reports, and meeting materials.
  • Coordinate meetings, conference calls, and special events, including agenda preparation and follow-up action items.
  • Track deadlines, monitor ongoing projects, and assist leadership in prioritizing business initiatives.
  • Maintain confidential records and sensitive business information with a high level of discretion.
  • Support office operations and provide administrative assistance on special projects as needed.
  • Process expense reports and assist with budget-related administrative functions.
  • Help streamline workflows and identify opportunities to improve administrative processes.

Qualifications

  • 3+ years of experience supporting executives or senior leadership in an administrative capacity.
  • Strong proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Excellent organizational and time-management abilities with a proven ability to manage competing priorities.
  • Strong verbal and written communication skills.
  • Ability to maintain confidentiality and exercise sound judgment.
  • High level of professionalism, adaptability, and attention to detail.
  • Experience coordinating travel, meetings, and executive schedules preferred.
  • Associate's or Bachelor's degree preferred but not required.
