Job Description

Adelphi is seeking an Administrative Assistant to provide services at a facility in Long Beach, California. The ideal candidate will support the Projects & Construction Management Section or the Major Projects and Activations Planning and Program Management Section, and will perform various administrative functions in human resources, budget management, procurement, logistics, contract management, and supporting project coordination tasks.

Qualifications:

• Preferred education of bachelor’s degree or higher.

• Minimum 2-3 years of work experience in administrative environment.

• Must possess computer skills: Microsoft Word, Excel, Outlook (email), Adobe Acrobat DC. Experience with Microsoft Teams is beneficial but not required.

Responsibilities:

• Maintain and update all procurement-related records (both digital and physical), ensuring compliance with VA regulations and records retention policies.

• Generate and create procurement packages, ensure all documents are complete, and coordinate with vendors for product delivery.

• Develop the Project Management Plan and Team Charter, assist with project management training, and participate in meetings to support the team.

• Track the receipt of orders and coordinate product deliveries for activation projects, including furnishings and equipment.

• Maintain budget spreadsheets and review pay applications for multi-year contracts.

• Gather information for monthly KPIs, track all IDSRs requiring purchasing, and initiate communication with vendors to request quotes.

• Perform various administrative tasks, such as taking meeting notes, creating schedules, and supporting project team needs.
